Refund & Cancellation Policy

This Refund & Cancellation Policy ("Policy") explains how cancellations, refunds, and billing disputes are handled for the Gatezen society visitor management service. By subscribing to Gatezen, you agree to this Policy along with our Terms and Conditions and Privacy Policy.

1. Free trial

Every new society gets a 30-day free trial of Gatezen.

You may cancel anytime during the trial without any charge. If you do not cancel before the trial ends and you have authorised a payment method, the first billing cycle begins automatically as per the plan selected.

2. Cancellation

Monthly plans

You may cancel your monthly subscription at any time. Cancellation takes effect at the end of the current billing cycle ; your society continues to have full access until then. No further charges will be made after cancellation.

Annual plans

You may cancel your annual subscription at any time. Cancellation stops the next renewal. Your society retains access until the end of the paid annual term. See section 3 for partial refund eligibility on annual plans.

Monthly plans

Monthly subscription fees are non-refundable once charged. If you cancel mid-cycle, you are not entitled to a refund for the unused portion of that month, but your access continues until the end of the billing cycle.

Annual plans — 14-day refund window

Annual subscriptions are eligible for a refund if you cancel within 14 days of the initial payment, provided no significant usage has occurred (broadly: under 50 resident accounts created and under 100 visitor entries logged).

After 14 days, annual subscriptions are non-refundable, but cancellation can still be requested at any time to stop future renewals.

We may, at our discretion, offer a prorated or full refund in cases of:

Refund processing time

Approved refunds are processed within 7–10 business days from the date of approval and are credited back to the original payment method. Bank or UPI processing times may extend this by a few additional working days.

If you believe you have been charged incorrectly, please contact us at support@gatezen.app within 7 days of the charge appearing on your statement.

Include the following in your email:

We will investigate and respond within 7 business days. If the dispute is valid, we will issue a refund or credit to the next billing cycle, at the society admin's preference.

6. How to cancel or request a refund

Cancel from the dashboard (recommended)

  1. Log in to admin.gatezen.app using your society admin email and password.
  2. Go to Settings in the left sidebar.
  3. Scroll to the Subscription section.
  4. Click Cancel subscription and confirm.

You will receive a confirmation email immediately. Access continues until the end of the current paid period.

Cancel or refund by email

Email support@gatezen.app from the registered society admin email address with the subject line "Cancellation request" or "Refund request". Include your society name and the reason for cancellation or refund.

We will action the request within 24 hours and confirm by email.
