This privacy policy explains what information the Gatezen mobile app collects from you, why we collect it, and how we protect it. By using the app, you agree to this policy.
1. About this app
The Gatezen mobile app helps residents and security personnel manage visitor entry at the gate of their building. You use the app to approve or deny visitors, pre-approve regular ones, receive building updates, and send or respond to emergency alerts.
2. Information we collect
From residents and family members
- Name and mobile phone number (used for OTP sign-in).
- Flat or unit number and building name.
- Family members you add (their names and phone numbers).
- Pre-approved visitor list (names, phone numbers, type).
- Blocked numbers list you create.
- Your approval or denial decisions on visitor entries.
- Complaints and feedback you submit.
- Push notification token for your device.
- Do-not-disturb hours, if you set them.
- Language preference.
From security personnel
- Name and mobile phone number (used for OTP sign-in).
- Visitor entries logged at the gate (visitor name, phone, photo, vehicle, target flat, time).
- Push notification token for your device.
About visitors at the gate
- Name, mobile number, and (optionally) photo, captured by the security guard at the gate with the visitor's consent.
- Vehicle number, if applicable.
- Time of entry and exit.
Automatically
- Device model, operating system, app version.
- IP address.
- Crash logs and diagnostic data (used to fix bugs).
We do not buy personal information from third parties. We do not track your location continuously.
3. Why we collect this information
We use the information we collect to:
- Verify your phone number through OTP and sign you in.
- Show you the right information for your role (residents see their own visitors; security personnel see gate logs for their building).
- Send push notifications when a visitor arrives, when an SOS is triggered, or when a building update is posted.
- Help security personnel verify visitor identity against your pre-approved or blocked lists.
- Generate visitor logs for residents and the person responsible for the building.
- Respond to complaints and feedback.
- Improve the service and fix bugs.
- Comply with applicable laws.
We do not use your information to show you advertisements, sell your information to anyone, build a marketing profile about you, or track your location.
4. Privacy controls
Privacy between owner and renter. If you are a renter, your visitor approvals, pre-approved list, blocked numbers, and emergency alerts are private from the owner of your flat. Each is a separate household for privacy purposes.
Privacy between neighbours. Other residents do not see your private medical or personal emergency alerts. Building-wide alerts (fire, evacuation, suspicious activity) are shared so neighbours can respond.
Updating your information. You can update your name, phone number, family members, language, and do-not-disturb settings from inside the app at any time.
Notifications. You can turn off push notifications from your device's Settings, although doing so may cause you to miss visitor approvals.
Delete your account. You can delete your account at any time:
- From inside the app: open Settings at the bottom-right of the home screen, scroll to the bottom, and tap Delete my account. Your name and phone number will be permanently removed from your flat within minutes.
- Or email support@gatezen.app and we will action the request within 30 days.
Some information may be retained briefly after deletion for legal, security, or fraud-prevention reasons.

5. Who we share information with
We share information only in limited ways:
- With the person responsible for your building. They can see information needed to operate the service — such as gate visitor logs, complaint history, and high-level resident lists. They do not see your private blocked numbers or do-not-disturb settings.
- With other residents and guards. Other residents see only the limited information described under "Privacy controls" above. Security personnel see your name and flat number when verifying visitors at the gate.
- Service providers we use. We use Google Firebase (authentication, database, notifications, storage), Expo (notification delivery), and Hostinger (transactional emails). These providers are bound by contract to keep your information confidential.
- For legal reasons. If required by law or to protect rights, property, or safety, we may disclose information to authorities.
We do not sell or rent your information to anyone.
6. How we protect information
- All communication between the app and our servers is encrypted using HTTPS.
- Data is stored encrypted at rest in Google Firebase data centres in India.
- Access to production data is restricted and logged.
- OTP-based authentication is used for sign-in.
No method of storage or transmission is 100% secure. Keep your phone and OTP code private. Contact us immediately if you suspect someone else has used your account.
7. How long we keep information
- Visitor entries: kept for 30 days, then archived and removed from live data.
- SOS alerts and building updates: kept for 30 days, then archived and removed from live data.
- Your profile: kept as long as you remain part of your building. Removed within 30 days of you leaving.
- Complaints and feedback: kept as long as needed to resolve, plus a reasonable period for records.
- Backups: some information may stay in encrypted backups for up to 90 days after deletion.
8. Children
The Gatezen app is not designed for children under 18. We do not knowingly collect information from them. Family members listed by a resident may include children — in those cases, only the child's name is added, no contact details of minors are stored.
9. Changes to this policy
We may update this policy from time to time. If we make significant changes, we will let you know inside the app or by SMS. The "Last updated" date at the top reflects the most recent change.
